Keeping HR aligned with growth

Takomo Golf is a Finnish growth company founded in 2021 that sells golf clubs directly to consumers online worldwide. Rapid growth has brought new demands for HR: as the number of people, roles, and responsibilities increases, HR needs to keep up – without making everyday work more complex.

Julia Palonen, HR Manager at Takomo, describes her role as supporting growth holistically. Her responsibilities include managing employment relationships, developing employee wellbeing and skills, and ensuring compliance with legal requirements. At the same time, she works closely with leadership and managers and helps maintain the company culture in a fast-changing environment.

Clearer HR setup tailored to finnish legalisation

As Takomo Golf continued to grow, there was an increasing need in HR for a solution that would offer more than just individual features.

“The company had reached a size where I needed more than just time tracking and absence management. I wanted to manage employment relationships, run surveys, and access HR data all in one place,” says Julia.

The goal was not to build a complex HR process, but to find a system that supports everyday work and brings structure without adding unnecessary workload.

When selecting an HR system, it was important for Takomo that the solution works seamlessly in line with Finnish legislation. Time tracking, holiday management, and employment data needed to comply with local requirements. In addition, ease of use was key – for both employees and managers.

Hailey met these needs by offering:

  • time tracking aligned with Finnish working time legislation and holiday practices
  • centralized and up-to-date employment management
  • tools for surveys and 1-to-1 discussions as part of everyday HR

Daily use and practical benefits

The implementation of Hailey at Takomo was smooth. For managers, the system has been particularly helpful in supporting development discussions.

“The development discussion template has been useful for managers, and it’s easy to adapt to different needs,” Julia explains.

In daily use, Hailey is primarily used for tracking working hours and absences. In particular, tracking part-time employees’ hours and analyzing time entries have been key use cases. Analytics has brought additional value by providing a clear overview of working hours and project allocation.

“It’s easy to export hours logged to different projects into Excel on a monthly level, which makes follow-up much easier,” Julia says.

The biggest change after implementation has been the overall smoothness of HR work. When employment data, contracts, and working hours are all in one place, the same tasks no longer need to be done multiple times.

“HR work has become much smoother when everything is in one place. Updating contracts can also be done through Hailey, whereas before I had to manage them across different systems,” Julia adds.

Bringing clarity to HR in a growth phase

According to Takomo Golf’s experience, Hailey supports HR work especially in a growth phase by bringing structure, simplifying daily work, and helping keep the overall picture under control, without making HR feel heavy.

In the end, it’s not about individual features, but about making everyday HR run smoothly. When the basics are in place and information is accessible in one system, there is more time to focus on what matters most for growth, the people.
